Conditions for Use of Buchanan Hall
Buchanan Hall is a community center and its use must be in keeping with the character of Upperville and the surrounding neighborhood. Use of Buchanan Hall is limited to those activities consistent with its status as a 501 (c) (3) organization. By signing the Lease Agreement, the lessee agrees to abide by the following conditions for the use of the facility, furnishings and grounds.
- The posted occupancy capacity of Buchanan Hall and its individual rooms must not be exceeded. No amimals allowed, except service animals.
- The lessee agrees to operate Buchanan Hall in a manner that ensures the personal safety of the lessee, guests, vendors, employees, or participants.
- Music may be played between the hours of 9 a.m. and 12 midnight. Amplified music is restricted to areas within Buchanan Hall. Only non-amplified music is permitted outside of Buchanan Hall.
- If alcohol is to be served or provided, the lessee is responsible for compliance with appropriate regulations set forth by the Virginia Alcoholic Beverage Commission. The lessee must obtain a license and furnish a copy to Buchanan Hall at least 10 days prior to the event. If the license is not provided no alcoholic beverages maybe served. - Use of kitchen and related facilities, or the theatre and related facilities, is contingent on compliance with posted policies and procedures, a copy of which will be provided the lessee at the time of the signing of this agreement.
- The lessee agrees to park in designated areas only and to use specified routes for ingress and egress to the property as shown on a map of the Buchanan Hall property which will be provided the lessee at the time of the signing of this agreement.
- The lessee is responsible for damage to the facility, furnishings, and grounds resulting from the event. Normal wear and tear excepted, the lessee agrees to vacate Buchanan Hall in the same condition in which it was entered. Tables must be cleaned, trash must be removed from the building and grounds, floors and counters must be cleaned and left in a dry condition. The lessees deposit shall be applied to the cost of said damages, and the leasing party shall be liable for any amount not covered by the deposit. Should the cost of damages be less that the deposit, the difference will be returned to the lessee within 30 days of the completion of repairs.
- Use of nails, tacks, tape, glue or other adhesive devices are prohibited except on areas designed and delineated specifically for the posting of materials.
- The lessee agrees not to sublet or otherwise relinquish control of Buchanan Hall to another party without the written agreement of a member of the halls board of directors.
- Buchanan Hall agrees to provide the lessee with the name and contact information for at least one individual who will be on call during the scheduled activity. In the event of any problems with the facility, the lessee agrees to contact the individual who is on call.
